Policy On Uploading Of Flash Presentation On University Website

 

 

 

 

POLICY FOR CHOICE OF MATERIALS FOR THE DLSU-D WEBSITE

 

 

 

I.                   Objective

 

This policy aims to establish criteria for information materials which may be featured in certain sections of the index page of the official website of De La Salle University-Dasmariñas (www.dasma.dlsu.edu.ph).  

 

 

 

II.       Scope

         

This covers information materials to be featured in the flash, spotlight, and announcement sections of the university website’s index page.

         

 

III.      Definition of Terms

 

Web team - refers to the personnel of the Web Unit of the Information Technology Center

 

Spotlight – found at the lower right side of the index page which features important programs, campaigns, website, and web pages

 

Flash – found at the center of the index page which features major university events. Presentation is done using FlashMX2004.

 

Announcement – the section below the index page that extends to the campus calendar

 

 

IV.      General Policy

 

  1. Official Data. Data pertain to institutional events/programs/announcements coming from sponsoring organizations/colleges/offices/units.
  2. Lay-out. The layout and design of the information material should not deviate from the overall look of the university website; otherwise, this will be modified/revised by the web unit artist/designer.
  3. Submission. Documents should be submitted to web@dasma.dlsu.edu.ph or through the requesting unit’s Post Events Online account.

Lead Time. Materials/information should be submitted to the Web Unit at least two weeks before the event/activity. 

 

  1. Editing.  All information/data shall be edited, when necessary, by the Web Unit editor before they are finally uploaded to the university website.
  2. Authority. The web team reserves the right to choose the materials to be featured in the index page sections.

 

V. Specific Policy

 

A. For flash

 

  1. The activity/event should be institutional (meaning it requires the participation of the academic community and /or the external public though it may be sponsored by an office or a student organization).  Unless this is the case, postings will take either the announcement or the spotlight section.
  2. A maximum of five (5) events/activities may be accommodated in this section. The spotlight section shall be the next option for institutional activities.
  3. There should be sufficient information/material about the activity
  4. Materials for the flash section may be uploaded two weeks, at most, before the date of the activity and shall be automatically deleted once the event is over.

 

B. For spotlight

 

  1. This section shall accommodate major events and activities which may not qualify for the flash section.
  2. Important university websites (like the cultural heritage complex) may also be featured in this portion.
  3. Important announcements, campaigns, and advocacy materials (intended for the academic community and/or the external public) shall be placed in this section.

Information on events/activities may be uploaded two weeks, at most, before the date of the activity and shall be automatically deleted once the event is over.   However, if the feature is a website or an advocacy campaign, the materials may stay uploaded until such time that the Web Unit decides that the materials have sufficiently served their purpose.

 

 

 

For the announcement section

 

1.       All other materials (events/announcements/campaigns) which are mostly from offices, departments, and students organizations will take this portion (which shall automatically be uploaded to the campus calendar provided sending of info was made thru Post Events Online).

2.       Events/announcements for this portion should be institutional or at least collegiate involving administrators, students, faculty and/or staff of the university. Exclusive activities of offices/departments/organizations shall still be uploaded to the campus calendar.

3.       All materials should be submitted to the Web Unit at least ten (10) days before the date of the event/activity.

POLICY ON UPLOADING OF FLASH PRESENTATION ON UNIVERSITY WEBSITE

 

 

 

I.                   Objective

The Information Technology Center – Web Unit monitors and controls the uploading of flash presentation on DLSU-D website.

 

 

III.               Scope

 

This policy covers information materials for the flash section at the index page of the university website.

1.       Flash section – found at the center of the index page which features major university events. Presentation is done using FlashMX2004.

 

 

V.                 General Policies

 

6.                 Flash Material. Information materials with layout and design to be submitted to the Web Unit should always be in photoshop (layered) file. 

 

7.                 Submission. Documents and files containing event details should be submitted to web@dasma.dlsu.edu.ph or through the requesting unit’s Post Events Online account.

 

8.                 Lead Time. Materials/information should be submitted to the Web Unit at least two weeks before the event/activity.

 

9.                 Editing.  All information/data shall be edited, when necessary, by the Web Unit editor before they are finally uploaded to the university website.

 

10.            Authority. The web team reserves the right to choose the materials to be featured in the flash section. The team also reserves the right not to accommodate requests which do not conform with the lead time. Flash materials may be removed from the section at the team’s discretion.

 

 

 

 

Specific Policies

 

5.                 To qualify for the flash section, the activity/event should be institutional (meaning it requires the participation of the academic community and /or the external public though it may be sponsored by an office or a student organization).  Unless this is the case, postings will take either the announcement or the spotlight section.

9.                 The information to be included in the flash presentation comprise the first four (4) data to include:

5.1     Title of event

5.2     Theme

5.3     Date and time

5.4     Venue

5.5     Special instructions (examples: deadline of submission is on …, tickets are available at…)

5.6     Sponsors (up to two sponsors only)

 

It is the discretion of the Web Unit to add more information which may be needed by the target readers.

 

6.       The web graphic artist, in consultation with the web team, executes and finalizes layout and design of all materials for the flash section. The original design of the requesting party may be adopted, or may be completely revised as deemed necessary by the artist considering artistry, quality, and appropriateness.
